Creating a Recruiting Machine

One of the biggest mistakes brokerage owners make is treating recruiting like an event instead of a system.

Creating a Recruiting Machine

Stop Recruiting When You Need Agents. Start Recruiting All the Time.

One of the biggest mistakes brokerage owners make is treating recruiting like an event instead of a system.
When growth slows, they recruit.
When an agent leaves, they recruit.
When they have extra time, they recruit.
Then business gets busy—and recruiting stops.
The result is predictable: inconsistent recruiting creates inconsistent growth.
If you want to build a brokerage that grows year after year, recruiting can't depend on when you have time. You need a system that continues creating conversations, relationships, and opportunities every week.

Build the Pipeline Before You Need It

Great agents rarely make a brokerage change the first time you speak with them.
They may be happy where they are today. Six months from now, their situation could be completely different.
That's why your recruiting database should be treated like your agents treat their client database.
Stay connected.
Provide value.
Build relationships.
Remain visible.
And when the time is right, you want to be the brokerage they already know and trust.
Recruiting isn't about chasing agents. It's about building relationships before there's an opportunity.

Give Agents a Reason to Notice You

Before an agent ever takes your recruiting call, there's a good chance they will look at your brokerage online.
What will they find?
Your website, social media, leadership, agent success stories, training, culture, and reputation all tell a story about your company.
That's your employer brand.
The question isn't simply:
“Why should an agent join us?”
A better question is:
“What would make a successful agent curious enough to have a conversation with us?”
Your marketing should help create that curiosity.

Create a Simple Recruiting Rhythm

A recruiting system doesn't need to be complicated.
Every week, your brokerage should consistently be doing a few things:
  • Identifying agents you would like to recruit
  • Starting new conversations
  • Following up with previous conversations
  • Sharing stories that demonstrate your culture and value
  • Asking your current agents for introductions
  • Tracking who's moving closer to making a change
Small actions performed consistently create momentum.
Twenty quality recruiting conversations this week might not produce twenty new agents.
But twenty conversations every week creates more than 1,000 recruiting opportunities over the course of a year.

That's when recruiting becomes predictable.

Measure the Activity That Creates Growth

Don't only measure how many agents joined.
Track what happens before they join.
How many new agents entered your pipeline?
How many recruiting conversations happened?
How many follow-ups were completed?
How many appointments were scheduled?
How many agents ultimately joined?
When you understand those numbers, you can identify exactly where your recruiting process is working—and where it needs improvement.

Your 90-Day Recruiting Plan

For the next 90 days, establish a recruiting goal and work backward.
Decide how many agents you want to add.
Then determine the weekly activity required to reach that goal.
Create a list of agents you want to build relationships with and schedule consistent time every week specifically for recruiting.
Most importantly, don't stop when you get busy.
The brokerages that grow consistently aren't necessarily the ones with the best recruiting pitch.
They're the ones that build a recruiting system and have the discipline to keep running it.

This Week's Challenge

Create your 90-day recruiting plan.
Set your goal. Build your pipeline. Schedule your recruiting time. Track your conversations.
Because when recruiting becomes a system instead of an occasional activity, growth stops being something you hope for and starts becoming something you can build.
